UVA Archival AI Protocol: Adoption Guide and Implementation Toolkit

Abstract

The Adoption Guide and Implementation Toolkit are the operational companions to the UVA Archival AI Protocol (https://doi.org/10.18130/5dqf-9w86). The Adoption Guide explains what adoption means, introduces the three adoption levels, and provides a public statement template for institutions evaluating AI training requests for archival collections. The Implementation Toolkit provides the forms, workflows, contract language, and staff resources needed to put the Protocol into practice, including default restrictions, a review workflow, a conditions library, an intake form, a decision log template, a provenance standard, model clauses for deeds of gift and vendor agreements, an implementation checklist, and a staff FAQ. Both documents are designed to be used together.
